Custom software vs ready-made: which fits your business?

Ready-made is faster and cheaper to start. Custom fits exactly. The right call depends on how unusual your process is — and how central it is.

There is no universal answer. There is a set of questions that gets you to yours.

Start with off-the-shelf when

  • Your process is close to standard. Invoicing, basic inventory, a simple CRM — these are solved problems.
  • You need it working next month, not next quarter.
  • The budget for phase one is small and you want to validate the need before investing.
  • You are willing to adapt your workflow slightly to fit the tool.

Ready-made software (including an open-source ERP like Odoo, customised) gets you 80% of the value for a fraction of the time and cost.

Build custom when

  • Your workflow is genuinely unusual and forcing it into a template would create more work than it saves.
  • The way you operate is a competitive advantage. If your edge is a process, do not flatten it into the same tool your competitors use.
  • You have outgrown a ready-made tool and are now paying for workarounds, exports, and manual glue between systems.
  • Integration matters — you need the software to talk to specific machines, accounts, or partners that off-the-shelf products do not support.

The hybrid that usually wins
